A brief description of the open access policy, including the date adopted, any incentives or supports provided, and the repository(ies) used:
Polytechnique institutional repository
In 2009, Polytechnique implemented PolyPublie, an open platform where dissertations and theses published after that date are deposited to make sure the research performed and published by all students from Polytechnique can be easily and freely accessible to the public. Some dissertations and theses containing scientific journal articles are also deposited on PolyPublie. However, due to confidentiality reasons (for instance, if an industrial partner is involved) or license restrictions with a scientific editor, a one-year embargo delaying its publication may be applied. Consequently, approximately 4% of PhD and Masters’ theses are not immediately accessible. Globally, all dissertations and theses must be deposited on this platform as per our institutional regulations.
Since 2018, and in an effort to promote the results of our research, Polytechnique has also been placing student theses and dissertations on the Érudit platform. This enhances the dissemination of documents, which were already available on the PolyPublie repository. Érudit is a non-profit initiative by Canadian universities offering centralized access for research and consultation of publications from various disciplines.
Open Access Policies applied at Polytechnique
Since February 2015, the Natural Sciences and Engineering Research Council of Canada (NSERC), the Canadian Institutes of Health Research (CIHR), and the Social Sciences and Humanities Research Council of Canada (SSHRC) adopted a harmonized policy on access to research publications (Tri-Agency Open Access Policy on Publications). NSERC and SSHRC researchers are now required to comply with the new policy for all grants awarded from May 1, 2015 onward.
Since April 2019, the Fonds de recherche du Québec (FRQ) adopted a policy on open access to research outcomes to contribute to the Open Science movement. In effect since April 1, 2019, FRQ's open access policy for the dissemination of research requires all FRQ funding recipients (researchers and students) to provide open access to their scientific publications no later than 12 months after publication.
In order to comply with these two policies by funding agencies, members of the Polytechnique scientific community can provide open access to their work by:
•depositing their peer-reviewed manuscripts in an open-access institutional or disciplinary repository, no later than 12 months following their publication; or
•publishing their manuscript in a journal that provides open access to articles, no later than 12 months following publication.
Polytechnique actively supports the implementation of the Tri-Agency Open Access Policy on Publications and the FRQ Policy by offering various types of support to help its researchers comply with its requirements.

A brief description of how the institution’s library(ies) support open access to research:
In 2015, Polytechnique Montréal's Library implemented the "Service de diffusion de la recherche" (a.k.a. Research Dissemination Service) whose goal is to support faculty/researchers in the dissemination and development of their publications. Three librarians and four technicians contribute to this service.
The services provided include:
•An institutional repository (PolyPublie) for publishing the institution’s dissertations and theses, as well as other research publications (journal and conference articles, books or book chapters, reports, etc.), in open access;
•Technical support to help researchers disseminate, through PolyPublie, their research findings, including scientific articles published in peer-reviewed journals, in order to comply with the different policies;
•Documentary support and consulting services on issues of science communication (open access, pricing models, copyright, research impact, management of bibliographical data, etc.);
•A web page giving access to targeted thematic guides developed and maintained by the library, including a specific guide on open access;
•A Directory of scientific and technical publications listing the majority of the publications produced by professors and researchers from Polytechnique Montréal;
•An e-mail address and a telephone line dedicated to all questions or requests by Polytechnique’s researchers and students.
